Scanned Certificates and Qualifications Now Being Accepted

Reset Cardholder profiles can now display your own contractor scanned documents

Reset are now able to present your own scanned copies of certificates and qualifications on your Cardholder’s profiles.

Cardholder certificates can be submitted as email attachments to Reset at support@rcscard.co.uk

Please include the following details in the email body:

  • Full name of Cardholder
  • Last 8 digits of number on Reset Card
  • Company Name
  • Only attachments in PDF format will be accepted

Some sites still demand originals and may reject a contractor scanned document as proof of competence, possibly refusing entry to site. For this reason, original certificates are still preferred to ensure acceptance on ALL sites by ALL Verifiers. Original certificates are added to cardholder profiles with a green watermark stating, ‘RESET SCANNED DOCUMENT – RESET VERIFIED ORIGINAL DOCUMENT’. This assures the person checking the cardholder’s profile that we have verified and scanned the original certificate.

Reset has always been led by its Client Sites and the many users of Reset and up to now only original certificates would be accepted by Reset. Many of our Members have challenged why Reset demanded original certificates.

Many of our Members have challenged why Reset demanded original certificates and our reply was simply that Reset didn’t – it was the people that were using Reset to check workers competence, the Verifiers, that did. We always listen to our Members though, and we were very conscious that this has been a bone of contention for a long time, and as such we have continued to work with our Client sites to relax the demand for originals.

When Reset was developed it came out of a growing demand by managers checking the competence of contractors working on site to comply with CDM and HSE legislation. Admittedly, the ones checking at the time were a minority, but almost all of the managers checking at the time demanded to see a bag of original certificates and they would not accept copies. As Reset set out to provide a solution to this growing issue, the only way that we could satisfy the requirement of the original was to provide it ourselves and so the demand for originals was pushed down from our client sites to our Company Members and Individual Cardholders. Effectively, the Cardholder’s profile provided an electronic bag of original certificates.

As time has moved forward, and as we are now serving a vast amount of client sites, we have found that more and more sites have stated that they would ‘trust’ the contractor to scan their own certificates to provide copies to Reset. Reset will still check the documents and they must meet certain quality criteria before we upload them to the Cardholder’s profile. Furthermore, any photocopied or certificates scanned by yourselves will be presented on screen with a red watermark stating, ‘CONTRACTOR SCANNED DOCUMENT - NOT A RESET VERIFIED ORIGINAL’. This warns the person checking the profile that you have not provided the original documents to Reset for verification.

This will apply to initial applications and refresher certificates to update expired qualifications.
